An invaluable part of the camp experience is the family feeling created by the wonderful community of people who return to camp every year. Because we want to foster this community, as well as give children the opportunity to experience camp throughout their childhood, we first open up registration to families that have attended camp in previous years. Returning families will have early admission open to them for a month, before we open it up to everyone in April. We encourage new families to check back in at that time.
Wise Heart events are incubators for learning and personal growth and each group member plays an important part in the transformational process. Maintaining strong boundaries around Wise Heart events helps support this process of change. We insist on these boundaries in order to create the best possible conditions for each individual and for the group as a whole to open and feel safe in exploring the true nature of mind. The following policies are designed to protect these boundaries:
Can I/we attend as a commuter?
Our current policy is that we only accept participants who are resident for the event. We no longer offer a commuting option.
Can I attend less than the full event? Can I get a refund?
You are required to attend the full event. This helps to protect the group’s learning and transformational process and the group energy that builds as the event unfolds.
Any requests for early departures must be approved by the Wise Heart event director.
Can I arrive late on registration day?
Please arrive during our publicized registration time. It is important that you arrive in time to register, settle in, and attend the orientation and the first session of the event, where a lot of important information will be shared.
Our staff members begin their work early on the arrival day of all retreats. You will not be able to register or check-in late. In the event that unforeseen circumstances while traveling make you late for registration, please call the Vajrapani Main Office 1-800-531-4001 as soon as you can so that we can assist you accordingly.
Can I arrive before the first day of the event?
Vajrapani Institute is closed to event participants until the arrival day of an event. This helps our staff to better prepare the facilities for everyone. There are accommodations nearby if you choose to stay in the area.
How much of a deposit will I need to pay in order to reserve a space?
The minimum deposit is calculated at $25/night. When you register online, you can either select this minimum deposit amount or you can select the entire event fee.
What is the last day that I can register?
To keep our event preparation logistics simple, we ask that you register at least 48 hours prior to the start of the event. Registrations received within this 48 hour time period will incur a $15 late fee.
What is your cancellation policy?
With at least two weeks’ notice, you may cancel your reservation and receive a refund for your deposit less a $25 processing fee. If you cancel within two weeks, we will hold your net deposit (deposit less the $25 processing fee) for up to one year to apply to another Wise Heart program, named by you at the time of cancellation. No refunds or credits are given for cancellations one week prior to arrival day or less. If you have paid in full in advance, refunds will be determined based on the standard deposit rate for your reservation. On rare occasions, due to low registration (with less than 10 people) events may be cancelled. If this occurs, we will notify you with at least 2 weeks’ notice before the scheduled start date of the event and offer a full refund of your deposit. If the scheduled instructor cannot lead the event due to unforeseen circumstances, we will attempt to find a replacement instructor or will cancel the event, and notify participants as soon as possible. If a replacement instructor is found, you will have the option to attend the event or receive a full refund of your deposit. If the event is canceled, we will offer a full refund of your deposit.
